The Meeting Management Extension integrates seamlessly with Google Workspace and Outlook to streamline meeting management, enabling easy access to Aviso Meeting within your calendar applications.
Follow the instructions below to complete the setup for both individual and domain-wide installations on Google Workspace, as well as integration with Outlook.
Google Workspace Installation
Follow these steps if you are an individual user looking to install the Aviso Meeting add-on for personal use in Google Workspace.
- Enable the Consent Page settings in your Consent Profile. To know more, click here.
- In the Google Workspace Marketplace, go to Aviso for Google Workplace.
- Click Install. As you install the application, follow the prompts to confirm the permissions and grant the required permissions.
- Open Google Calendar and select "Aviso Meeting" from the Add Conferencing drop-down when creating a meeting.
- The Aviso Meeting add-on is now available in your Google Calendar.
Outlook Integration
For Outlook users, the Meeting Management Extension can be integrated through Microsoft’s centralized deployment.
- Refer to Microsoft’s guide on deploying add-ins to set up the Aviso for Outlook add- in.
- This integration allows users to include a meeting consent link when scheduling events in Outlook Calendar, ensuring easy access to the consent page for meeting participants.
Consent Settings for Aviso Notetaker
Once the Meeting Management Extension is installed, a consent page will open before you join the call. If you select Join the call now, the meeting will be recorded automatically through Aviso Notetaker.
The Aviso Notetaker is a bot that joins your meeting as a participant and uploads the recording to the Aviso Collaborations Workspace. To enable this, you can either integrate Aviso Notetaker with your calendar—allowing it to automatically read schedules and join meetings—or send the meeting invite directly to Aviso Notetaker at least 15 minutes before the meeting begins.
In addition to providing consent for Recording the Call, the Meeting Host can view a list of sellers, buyers and also unclassified participants before starting the meeting.
Note
- If you have integrated the Notetaker with your calendar, and want to remove the Notetaker from a meeting, you can remove the Notetaker from the list of participants. You can also remove it from the list of participants to stop the recording while the call is in progress. The Notetaker works like any other participants in the meeting. However, once you remove the Notetaker from a meeting, it cannot join the same meeting again.
- The meeting recording will only proceed if all participants provide the required consent. If even one participant declines consent, the meeting will not be recorded.
